Groups and Resource explained.
Up to and including version 5, Resources, Equipment and Contacts were all separated which restricted many possibilities for reporting and filtering. Since version 6 these are all now combined as Resources.
Groups and Resources are the key to powerful filtering and reporting so we thought it was time to describe how they can be used. Although they are called Groups and Resources this description probably doesn't describe how powerful they can be.
Groups are a collection of Resources. It possible to set a group as mandatory, so for example when creating an event you MUST select a resource from the Task group and Charge Type group otherwise the event will not be saved.
Groups can also set the labels for any of its resource, E.g. If you have a resource in a group called Staff may want fields for, Name, Address, Title and Post Code etc, A group called Equipment may want fields for Name, Serial Number, Type etc, A group called Servers may want fields for Server Name, Location, Operating system.
A resource can not only be a room, person or machine, but could also just be a tag such as Busy, Free, Booked or Available. They can also be used to specify a charge type, costs, working hours, and much much more.
Once you have linked an event to a resource all the outputs, reports, and charts can be set to filtered by your chosen resources giving you an unlimited number of possibilities for views, reports and outputs.
An example of a event using many resources from many groups...
Event:
- Training Course for 5 days
Linked Resources:
- Room1 (From a Rooms group)
- Tutor (From a Staff group)
- Internet Equipment (from an Equipment group)
- 10 x Chairs (from an Equipment group)
- Charge Code Full (from Charges group - Mandatory)
- Task Busy (from a Task group - Mandatory)
- Working Hours (from a Working hours group - Mandatory)
